Getting your team into Vidgram takes about 30 seconds per person. Once they accept the invite, they can start recording and sending videos right away.
How to invite someone
- Click Members in the sidebar.
- Click Invite Members in the top right.
- Paste one or more email addresses in the textarea (separated by commas or new lines β up to 50 at a time).
- Pick a role that applies to everyone in the batch: Owner, Manager, Ops, or Rep.
- Click Send Invites.

They'll each receive an email with a link to join your workspace. If they don't have a Vidgram account yet, they'll create one during the sign-up flow.
If your plan is seat-based, the dialog will remind you that each invitee adds a seat to your next invoice.
Understanding roles
Vidgram has four roles:
Owner
- Full access to everything
- Invite and remove team members
- Manage billing and subscription
- Change workspace settings
- Create and manage integrations (Salesforce, HubSpot)
- Access team-wide analytics
Owners are your admins. You can have more than one Owner on a workspace.
Manager
- Create and manage campaigns
- Use the messaging console
- Invite new team members
- Change workspace settings
- View team dashboards and analytics
- Record and send videos
Managers run day-to-day operations and team configuration but can't change billing or assign other members' roles.
Ops
- Use the messaging console
- Invite new team members
- View team dashboards and analytics
- Record and send videos
Ops members handle day-to-day team operations (adding reps, adjusting messaging) without the workspace-settings or billing rights a Manager or Owner has.
Rep
- Record and send videos
- Work on assigned campaigns
- View their own activity and video history
Reps have everything they need to do video outreach but can't manage campaigns or access team-level data.
Managing existing members
To change someone's role or remove them:
- Click Members in the sidebar.
- Find the person in the list.
- Click the three-dot menu next to their name.
- Choose Change Role or Remove Member.

When you remove someone, they lose access to the workspace immediately. Their sent videos and analytics data stay in the workspace -- nothing gets deleted.
Pending invites
Invites that haven't been accepted yet show under the Pending Invites section of the Members page. You can resend or cancel a pending invite from the three-dot menu.
Invites expire after 7 days. If someone misses the window, send them a new one.
Team plan billing
The Team plan uses per-seat pricing. Each user you add to the workspace increases the monthly bill. There's no hard cap on the number of users -- add as many as you need.
